Overview
Ensure each SaaS user account in your environment is mapped to an actual person, and application usage and costs match expectations for all users.
To be able to accurately review statuses, activity, and expenses, ensure all users have corresponding persons. This is important because it prevents accounts staying active after employee onboarding, ensures accountability and ownership, and supports cost allocation and compliance audits.
To review user accounts:
- Navigate to Purchased Licenses > SaaS Subscriptions > Users.
- Check if each user is associated to a person, and make corrections where necessary.
Identify Status inconsistencies
Identifying status inconsistencies when it comes to users is an important step in ensuring a safe and efficient functioning of the environment. Routine checks offer a series of benefits, such as:
- Risk identification (for example, offboarded users with access)
- Cost leakage highlight
- A proper following of offboarding procedures
To identify inconsistencies, follow the steps below:
- Navigate to Purchased Licenses > SaaS Subscriptions > Users.
- Check consistencies between the following:
- Person Status (live or offboarding)
- Last Activity (should not display recent activity if the user is offboarded)
- Yearly Cost (should be 0 for inactive account)
