Workflow Designer Dashboard and Analytics
Workflow Designer Dashboard provides analytics on workflow usage, performance, AI adoption, user activity, and departmental engagement, helping track automation efficiency, error rates, and the transition from the legacy Workflow Studio tool.
The Workflow Designer comes with a Dashboard & Analytics view, giving administrators and business users clear visibility into automation performance, adoption, and AI usage:

The following information is available in the Overview Dashboard that can be accessed via the Administration application → Services & Processes → Workflow Designer:
- Add new Workflow: action allows users to create a new workflow from scratch. Selecting it opens the Workflow Designer, where users can set the name and description for the workflow and proceed with defining triggers, actions, conditions, and approval steps.
- Manage Workflows: opens the Workflows page.
- Active Workflows: displays the total number of workflows currently active in the system. Active workflows are those that are enabled and can trigger automatically or manually based on defined conditions.
- AI-Powered Actions Used: shows the percentage of the AI actions that are used in workflows compared to all actions from the AI & Language Model Operations category that are available for use.
- Workflows Executed (Last 30 Days): displays the number of workflow runs over the past 30 days
- Business-Created Workflows (via Designer): shows the percentage of the workflows created directly by business users (non-developers) using the Workflow Designer tool versus those built in the desktop Workflow Studio application.
- Workflow by Type: a pie chat that breaks down workflows by integration context, e.g. Compliance Rules, Service Approval, etc.
- Error Rate in Workflow Runs (Last 30 Days): pie chart showing the distribution of the run Workflow instances by State (Active, Completed, Failed, Canceled, Canceling, Executing, Queued, Starting, Suspended, Suspending, Terminated, Terminating). Takes into account only the workflows that were created in the Workflow Designer and workflow instance was started during the last 30 days.
- Automation Champions: highlights the top 10 contributors with the highest number of created workflows, displaying the contributor name and how many workflows were created by the person which helps identifying internal workflow experts.
- Departments Using Workflow Designer: pie chart showing the distribution of the workflow creators by their Departments, highlighting which of them are actively designing the workflows in the Workflow Designer.
- Workflow Execution by Tool: a bar chart showing the breakdown for the workflow instances that were ran during the last 30 days based on the tool where they were initially designed in. This data allows comparing usage of the new Workflow Designer and legacy Workflow Studio, supporting transition monitoring.
- AI-Powered Actions Execution: shows the distribution of AI-driven actions that have been executed over the last 4 months, showing adoption and efficiency trends for AI
